INTERNAL GROUP SPECIAL BOOKING REGULATIONS 

Please note:

1.             Applications for bookings can only be made by halls, faculties, societies, departments, Sports Association clubs and other approved clubs in the University.

2.             Bookings must be made by submitting a duly completed application form which should be signed by the Head/Chairman or official bearer and be borne with the chop of the organization.  Telephone bookings will not be accepted. 

3.             Applications must be made at least 2 weeks in advance and all bookings are subject to availability.  Bookings made earlier than six weeks are listed as provisional and they are subject to confirmation by the IHP.

4.             For booking cancellation, users have to give IHP notice at least 24 hours before the booking starting time by calling IHP (2817 4046) or by e-mail (ihphku@hku.hk) or by fax (2855 0344) during office hours, and return the booking slip to the relevant reception counter in person or by fax.  Those who fail to do so are subject to a NO SHOW fine, and they will not be allowed to use the University sports facilities; and to make further booking and all their bookings made previously will be suspended until the NO SHOW fine is fully settled.

5.             Additional information for specific functions such as large events and tournaments must be submitted together with the application form.

6.             Please note floodlight charges must be paid in cash when the facility concerned is booked at Pitch #2, SHSC. The charges are as follows:

7.             All users must present their approved booking slip when they report at the counter upon arrival. Users have to to so within 30 minutes before and 15 minutes after the booking starting time. 

8.             All users should have valid student card or sports membership card when they access to the booked facilities. 

9.             The applicant should submit special equipment request to the Facility Manager at least 3 working days in advance. 

10.          Outside team and coach are not permitted to enter for a booking unless with approval of the Facility Manager, Miss M L Chan (Flora Ho Sports Centre, mlchana@hku.hk) or Mr Ken Lee (Stanley Ho Sports Centre, kencklee@hku.hk). Please send your approval request to the Facility Manager concerned via email.
